Terms & Conditions
Last updated: 1 September 2026
These Terms & Conditions apply when you create a Lumi360 account or use the Lumi360 service. They explain what you can expect from Lumi360 and what we expect from you as a user. We have written them to be clear and readable rather than unnecessarily complicated. By creating an account or using Lumi360, you agree to these Terms & Conditions.
1. Your Account
You must be 18 years or older to create a Lumi360 account.
You are responsible for:
- Providing accurate information when creating your account
- Keeping your sign-in details secure
- Maintaining the security of your account
- The activity that takes place through your account
- Ensuring that people you invite into your family workspace are authorised to access it
If you believe that someone has gained unauthorised access to your account, you should contact us as soon as possible at support@lumi360.io.
2. What Lumi360 Is
Lumi360 is an organisational assistant for families.
It helps you capture, interpret, organise and retrieve information relating to everyday family life, including things such as:
- Family information
- Activities
- School information
- Calendars and events
- Documents
- Notes
- Meals
- Shopping
- Reminders
- Other information you choose to provide
Lumi360 is not a medical, legal, financial or educational advisory service.
Information provided by Lumi or generated by the service should not be treated as professional advice or as a substitute for your own judgement.
You remain responsible for decisions concerning your family.
3. AI Interpretation and Accuracy
Lumi uses artificial intelligence to interpret information you say, type or upload.
AI systems can sometimes misunderstand information or produce incomplete or incorrect results.
For this reason, Lumi may show you what it understood before an important action is saved or carried out.
You remain responsible for checking information that matters to you, including:
- Dates
- Times
- Locations
- People
- Responsibilities
- School requirements
- Forms and deadlines
- Other important family commitments
You should not rely on Lumi360 as the sole source of truth for an important deadline, appointment, school requirement or other matter where an error could cause harm or loss.
To the extent permitted by law, Lumi360 is not responsible for a missed event, deadline, requirement or other consequence resulting from information that was incorrect, incomplete or not verified by you.
4. Your Content
Your family's content remains yours.
You give Lumi360 the permission necessary to store, process, organise, interpret and display the content you provide so that we can provide the Lumi360 service to you.
This may include information about family members, including children, as well as documents, screenshots, photographs, notes, school information, activities and other content you choose to provide.
You confirm that you are authorised to provide the information and content you upload or enter into Lumi360.
You should not upload or provide information that you do not have the right or permission to share.
5. Privacy and Family Information
Your family information is intended to remain within your private family workspace and is protected through account, family membership, database and storage permissions.
Lumi360 does not provide staff with a normal interface for browsing your family's private workspace.
However, as with any hosted technology service, authorised personnel with infrastructure-level responsibility may technically be able to access stored information where reasonably necessary to operate, maintain, secure or support the service. Any such access is subject to appropriate security and confidentiality controls.
Our handling of personal information is described in our Privacy Policy.
6. Acceptable Use
You agree not to:
- Use Lumi360 for anything unlawful
- Harass, threaten or endanger another person through the service
- Use Lumi360 to secretly monitor another person without appropriate authority or lawful basis
- Upload content that you have no right to share
- Attempt to access another family's workspace or information
- Attempt to bypass authentication, permissions or security controls
- Probe, disrupt, overload or interfere with the service
- Introduce malicious code, malware or other harmful material
- Attempt to obtain another user's account credentials
- Reverse engineer or attempt to compromise the service
- Resell, sublicense or redistribute Lumi360 without our written permission
- Use Lumi360 in a way that could reasonably damage the service or other users
We may restrict or suspend access where we reasonably believe these Terms have been breached or the service or another user is at risk.
7. Fair Usage
Lumi360 subscriptions include a generous allowance for normal family use of features such as AI interpretation, uploads and voice functionality.
We may apply reasonable usage limits if activity is substantially beyond normal family use or places an unreasonable load on the service.
We will not use excessive usage as a reason to issue a surprise charge.
If your usage is significantly outside the intended use of your plan, we may contact you and, where reasonably necessary, apply appropriate limits or discuss a suitable plan.
8. Subscriptions and Payment
Paid Lumi360 plans are billed monthly in advance and renew automatically until cancelled.
Prices and applicable plan details are shown at the point of purchase.
Payments may be processed through our payment service provider.
Your payment may be subject to the payment provider's own terms and conditions.
If we change the price of your subscription, we will provide reasonable notice before the new price applies to your next renewal.
Failed or Unsuccessful Payments
If a subscription payment is unsuccessful, Lumi360 may notify you and give you a reasonable opportunity to update your payment method or complete the outstanding payment.
If payment remains unsuccessful, we may suspend access to paid features and services until payment is successfully received.
Your family account and stored information will not automatically be deleted solely because a payment fails.
If the outstanding payment is successfully completed and the subscription is restored, access to the applicable paid services will be restored, subject to any reasonable technical processing time.
For payment, subscription or billing issues, you can contact billing@lumi360.io.
Nothing in this section limits any rights you may have under applicable South African law.
9. Cancellation
You may cancel your Lumi360 subscription at any time.
Cancellation takes effect at the end of the subscription period that you have already paid for.
Unless required by applicable law, cancelling a subscription does not automatically entitle you to a refund for the unused portion of the current billing period.
You may contact billing@lumi360.io regarding refunds or other payment issues, and we will handle them in accordance with applicable law and our applicable refund practices.
You may also request deletion of your personal information, subject to applicable legal and operational requirements.
10. Founding Families and Early Access
Lumi360 is currently in its founding-family stage.
During this period, parts of the service may change as we improve the product.
Features, functionality, limits and visual elements may be introduced, changed, replaced or removed.
Where we describe a feature as coming soon or being on the way, this does not guarantee a particular release date or that the feature will ultimately be released in exactly the form originally described.
11. Invite a Family
Inviting other families is entirely optional and is never required to use Lumi360.
If you choose to share Lumi360 with families you think may benefit from it, the following rules apply.
Qualifying families
A family counts towards your invitation milestones once that family:
- Becomes a paying Lumi360 family; and
- Remains a paying family beyond its first month.
Sign-ups, trials and accounts that cancel during their first month do not count.
Founding Season
Invites count during the Founding Season, which runs until 30 November 2026.
All participating families share the same Founding Season. There is no separate personal invitation period for each user.
Families joining after the Founding Season closes do not count towards these milestones unless Lumi360 announces otherwise.
Milestones
The invitation milestones are:
- 5 qualifying families
- 10 qualifying families
- 20 qualifying families
Twenty qualifying families is the maximum milestone. There are no additional milestones after 20.
Benefits
Reaching a milestone grants a benefit within Lumi360:
- 5 families: additional family-space capacity
- 10 families: Lumi Fridge
- 20 families: Lumi Circle standing
Lumi Fridge will be granted when that feature becomes available.
Benefits are features or standing within Lumi360. They are not cash, credit, a subscription discount or a monetary reward.
Benefits are not transferable and cannot be exchanged for money.
A benefit you earn remains available for as long as your family maintains an active Lumi360 subscription, unless we are required to change or discontinue the relevant feature.
Features granted as a benefit may later become part of paid Lumi360 plans for everyone. Earning a feature early does not guarantee that it will remain exclusive to founding families.
Genuine invitations
You may not attempt to increase your invitation count through:
- Spam
- Misleading claims
- Paid advertising presented as an organic invitation
- Creating accounts yourself
- Fake or duplicate accounts
- Other behaviour intended to artificially increase milestone counts
Lumi360 may decline or reverse a milestone count where a qualifying join is not genuine.
If a benefit was granted based on a join that is later determined not to qualify, Lumi360 may withdraw that benefit.
Future invitation seasons, if any, will be announced separately and will operate under their own terms.
12. Availability
We work to keep Lumi360 available and reliable, but we cannot guarantee uninterrupted or error-free service.
The service may occasionally be unavailable or affected by:
- Maintenance
- Updates
- Hosting or infrastructure problems
- Third-party provider outages
- Internet or connectivity problems
- Security incidents
- Technical faults
- Events outside our reasonable control
We will take reasonable steps to restore the service when problems occur.
You should keep your own copies of documents and information that are particularly important to you.
13. Third-Party Services
Lumi360 may rely on third-party technology and service providers to operate certain parts of the service.
These may include providers supporting:
- Hosting
- Database infrastructure
- Authentication
- AI processing
- Voice transcription
- File storage
- Payment processing
- Communications
- Security and technical services
Your use of certain Lumi360 functionality may therefore involve processing by those providers.
Third-party providers may have their own terms and privacy policies.
Lumi360 is not responsible for services that are operated independently by third parties, except to the extent required by applicable law.
14. Children and Family Accounts
Lumi360 is designed to help families organise information that may include information about children.
Only an adult who is authorised to create and manage a family account should create the account and provide children's information to Lumi360.
You confirm that you have the appropriate authority to provide information about children that you add to your family workspace.
Our handling of children's personal information is described in our Privacy Policy and is subject to applicable privacy laws.
15. Intellectual Property
The Lumi360 service, including its software, interface, branding, logos, visual design, text, graphics and other original materials, is owned by or licensed to Lumi360 and is protected by applicable intellectual-property laws.
You may use Lumi360 only for its intended purpose and in accordance with these Terms.
You may not copy, reproduce, modify, distribute, sell, lease, sublicense or create derivative works from Lumi360 or its proprietary materials without our written permission, except where applicable law permits otherwise.
Your own family content remains yours.
By using Lumi360, you do not transfer ownership of your content to us.
16. Feedback
If you provide suggestions, ideas, comments or other feedback about Lumi360, you agree that we may use that feedback to improve the service without owing you compensation for doing so.
We will not use your private family content as public marketing material without appropriate permission.
17. Suspension or Ending Access
We may suspend or terminate access to a Lumi360 account where:
- These Terms are materially breached
- The account is being used unlawfully
- The account presents a security risk
- The account is being used to abuse or disrupt the service
- Payment obligations remain unpaid after a reasonable opportunity to resolve the payment issue
- Continued access could reasonably harm Lumi360 or another user
Where reasonably possible, we will give you notice before suspending or terminating access.
Nothing in these Terms limits any rights you have under applicable South African consumer or other law.
18. Liability
Lumi360 is provided on the basis described in these Terms.
To the extent permitted by law, Lumi360 will not be liable for indirect, incidental, special or consequential losses arising from your use of the service.
To the extent permitted by applicable law, our total liability arising from your use of Lumi360 will be limited to the subscription fees you paid to Lumi360 during the three months immediately preceding the event giving rise to the claim.
Nothing in these Terms excludes or limits any liability or consumer right that cannot legally be excluded or limited under South African law.
In particular, nothing in these Terms is intended to remove rights you may have under applicable South African consumer protection or other mandatory law.
19. Changes to These Terms
We may update these Terms from time to time to reflect:
- Changes to Lumi360
- Changes to our services
- Changes in technology
- Changes in applicable law
- Changes to our business practices
If we make material changes, we will take reasonable steps to make the updated Terms available to users.
The “Last updated” date at the top of these Terms indicates when they were most recently updated.
